Overview: This article is intended to provide a series of steps for a Zone or Regional Contact to review, approve, or remove a Volunteer submitted experience.
Type of Administrative Access: The minimum Access Level needed to follow this article: Zone.
Review Pending Experiences
Step 1 From the Navigation Panel, click on Experiences.
Step 2 Select the date range tor search by the Title of the experience or the experience ID number.
- Select the From and To dates to retrieve experiences between those dates. Click the Search Icon.
- To search for just the Title or ID of the experience, enter information and click on the Search Icon.
Step 3 Select the Pending Review Tab to display experiences that have been submitted and need to be reviewed. Select the experience to review.
Step 4 From the Content card, review the Title and the Description of the submitted experience. Determine if the experience should be approved, or revised.
Step 5 From the Review card click on the Status dropdown menu and select the appropriate status.
- If a revision is needed, select Revision Requested.
- Enter comments about the experience into the Reviewer Notes field.
- Enter details about the revision needed into the Comments to Volunteer field.
- The volunteer will see a Revision Requested notification on the My Ministry Experiences Tab.
- If approved, select Approved.
- Enter comments about the experience into the Review Notes field.
- Select the Public Information Desk (PID) Rating for the experience. The reviewer would select between a 1-to-5-star rating.
- One star – Very Common / Bland
- Two stars – Average / Typical
- Three stars – Interesting
- Four stars – Unique / Motivating
- Five stars – Exceptional
- The Details card provides details about the submission, including the volunteer who submitted the experience, the congregation assigned, the date the experience happened, the date the experience was submitted, the facility where the resident is located, and the assigned experience ID number.
Step 6 Click Save to save any changes.
- After saving, the Review card displays any revision requested including the date and time.
- The Review History card will show the history of the experience. After submitting a review, this card will update with the date, the Action Taken, and the Action By.
- The experience will then be moved to the Revision Requested Tab. This tab shows all the experiences that are waiting for revisions to be made by the volunteer.
- After the volunteer submits the revision, the experience will be returned to the Pending Review Tab.
- Once approved, the experience will be found under the Approved Tab.
Delete an Experience
Any experience that is pending approval or has been approved, and needs to be removed from Gate Access, can be deleted.
Step 1 On the applicable Tab, select the experience.
Step 2 Within the experience, click on the Delete Icon.
- A confirmation box will open confirming that you want to delete the experience. To confirm, click Delete.
