GATE ACCESS RELEASE FEATURE SUMMARY
This summary intends to provide information regarding new features available with the latest release of Gate Access.
A. Administration Role
Roles Affected: Branch and Regional
This release includes a new Administration Role, with similar access to the Regional Role. Volunteers who assist with “back office” administrative tasks can be given the Admin Role Access Level to grant permissions to add and edit Applicants and Volunteers. This will prevent these administrative volunteers from being inadvertently assigned to a Facility or Resident. The Admin Role Access Level can only be granted by the Regional Role.
Volunteers with the Administration Role will not receive notifications or reassignments that go to Overseers.
Example: When removing a Volunteer from a Facility, assigned Residents are re-assigned. Volunteers with the Admin Role will have access to re-assign.
B. Resident Publisher Records
Roles Affected: Regional, Zone, and Facility
The new release includes modifications to the service reports in the Residents Module.
A resident’s field service report can no longer be submitted in the current month.
- If the current month is October, then the option to submit a field service report for October will not be available until November 1st.
- Field service reports can now be modified beyond the previous three-month period.
2. ENHANCED FEATURES
This summary intends to provide information regarding enhanced features available with the latest release of Gate Access.
A. My Ministry Calendar and My Schedule
Roles Affected: All Roles
There are two enhanced features available in the My Ministry Module for Calendar and My Schedule: Meeting Assignment Confirmation and an added Notification Icon.
- Meeting Assignment Confirmation
The Meeting Assignment Confirmation feature is in the My Schedule card from My Ministry. An added alert is highlighted when a Meeting Assignment needs attention. When a Meeting Part is assigned, a volunteer can either Decline or Confirm the assignment within the Meeting Agenda.
- Notification Icon
The Notification Icon feature will alert the volunteer when there is a new unread notification. A Notification Icon will appear in the Global Header and within the Calendar.
A Red Notification Icon indicates that there is an urgent unread notification.
An Orange Notification Icon indicates that there is an unread message/notification.
Clicking on the Notification Icon will open the Notifications drawer. All unread notifications will be displayed. Urgent notifications will have a red title and will appear at the top of the list.
The X Icon inside a notification will move it from the All Tab to the Dismissed Tab. Messages in the Dismissed Tab will be automatically deleted after 30 days.
B. Experiences
Roles Affected: Branch, Regional, Zone, and Volunteer
The Experiences Module has been enhanced to add a new Review Status and a Public Information Desk (PID) Rating.
The Zone or Regional Contact reviewing can give the experience a status of Pending Approval, Revision Requested, or Approved. A Public Information Desk (PID) Rating can be added to the experience.
If a revision is needed, the Revision Requested status can be selected and comments for the volunteer can be added. Volunteers will see a Revision Requested notification on the My Ministry Experiences Tab.
