Overview: This article is intended to provide an overview of the specific features and functionality of Gate Access available to you when you log in as a Branch / Regional / Zone user. We will discuss the intended use of each section and how they can be used to support the prison ministry.
Type of System Access: The Type of System Access/Permissions needed to follow this article are: Branch / Regional / Zone Default Permissions.
Volunteers
The Volunteers Landing Page allows you to view a list of volunteers and edit their profiles to meet the specific needs of a region, zone, or individual facility. You will have the option to Search by Zone, State, and Name.
The More Options button opens the Volunteer Search Options drawer, providing you with additional criteria to help filter your search. Clicking on the chevron icon will display specific options for each area to be filtered. Once the search criteria have been selected, click on the Done button, then the Search button. The filtered search results will be displayed.
No notification will be displayed beneath the name if the volunteer is an active user. If a notification says Disabled, this indicates a volunteer’s profile is temporarily disabled. If a notification says Verifying, this indicates that the volunteer has received the welcoming email and has not logged in to Gate Access.
The Ellipses Icon will display quick actions that allow you to Edit, Add a Document, Disable Access, or Delete a volunteer’s profile.
- Note: When you click Delete on a volunteer, you will see a validation of this action as the Volunteer Profile and any documents will be deleted and cannot be recovered once completed. If the volunteer has inmates assigned, they need to be reassigned to the Facility Contact prior to taking this action.
Volunteer Profile
The Volunteer Profile can be accessed by either clicking on Edit from the ellipsis (quick action) or by clicking on the Volunteers Name.
The Personal Tab will allow you to view and edit a volunteer’s personal information.
The Theocratic Tab will allow you to view and edit the volunteer’s theocratic information.
The Access Tab will allow you to view and edit the volunteer’s current activities approved, permissions, and facilities in Gate Access. In addition, you will see the volunteers Account Status and last login date.
The Inmates Tab will display the inmates that are currently assigned to the volunteer.
The Documents Tab allows you to view or upload documents for a volunteer. Click on Add to upload a document.
- Note: Documents must be in PDF format and less than 5 MB in size.
The Application Tab will display the volunteer’s original application information.
