Overview: This article is intended to provide an overview and a series of steps of the Initial Contact Letter Writing reporting feature for volunteers when reporting their activity within Gate Access. The information entered by each volunteer will be used by oversight in statistical reporting for their designated Zone, Region, and/or Facility.
The steps presented below will take a Volunteer through the process of submitting the effort with Initial Contact Letter Writing.
Step 1 Select My Ministry in the Navigation Panel.
Step 2 Click on the Activity Tab.
Step 3 Click on the row for the available Month of the activity. The Edit Activity drawer will open on the right side of the page.
- Note: Please note that only the most recent three months of activity can be reported.
Step 4 Report time time spent on ICLW (Initial Contact Letter Writing) in Correspondence Hours in HH:MM format (Hour Hour: Minute Minute).
For example, if 3 hours were spent on ICLW, you would enter 03:00.
Step 5 Under Correspondence, enter in the number of ICLW Msgs Sent and ICLW Msgs Received. This can be entered manually or using the up-down arrows on the right side of the box.
- Note: The number of Initial Contact Letters sent to inmates will go under ICLW Msgs Msgs Sent, and responses received from inmates will go under ICLW Msgs Received.
Step 6 Enter any remaining activity that may need to be recorded as part of your monthly report on all activity pertaining to your prison ministry.
- This may include Placements, Video Showings, In-Person Hours, Meeting Hours, Return Visits, Bible Studies, Messages Sent, Messages Received, Training Hours, Application Hours, Shepherding Hours, Admin Hours, or Comments.
Step 7 Click Save.
- Note: Save will display if there are entries in one or more fields.
