Overview: This article provides an overview of the Statistics module, including Volunteer Hours, Volunteer Ministry, Resident Status, Resident Correspondence, Facility Classification, Volunteer Assignments, Volunteer Account Status, Resident Interest, Facility Support, Resident Publisher Ministry, and Resident Movement. It also encompasses the Overview, Facilities, Volunteers, and Resident Publishers tabs within the statistics module.
Type of Administrative Access: Access Level needed to follow this article is Zone or Regional.
Step 1 After logging in to Gate Access, click on Statistics in the Navigation Panel.
Step 2 Select a zone from the Dropdown Box, select a date range, and click Apply to view statistics for the specified zone and dates.
Note: The date range can go as far back as September 1, 2021 and as recent as the last day of the most recently completed month. For example, if today is August 8, 2023, the most recent End Date will be July 31, 2023.
Step 3 Eleven statistics Cards will appear.
- The Volunteer Hours Card displays all volunteer hours pertaining to the Prison Witnessing Pilot Program of any type recorded during the specified date range. This will include activities in the ministry as well as meetings, trainings, shepherding, etc.
- The Volunteer Ministry Card displays all field ministry activities recorded by volunteers. This summarizes volunteer service hours, average Bible Studies, Return Visits, Video Showings, and Placements for the specified range.
- The Resident Status Card displays the number and category of residents contacted by the Gate Access program across the specified zone and date range.
- The Resident Correspondence Card displays the number of letters sent to residents or received from residents or the branch office.
- The Facility Classification Card display the number, category, and jurisdiction of all facilities in the specified zone.
- The Volunteer Assignments Card displays the number of assignments given to volunteers, such as meeting participation, correspondence, and shift participation.
- The Volunteer Account Status Card displays the total number of volunteer accounts for the specified range and a breakdown of how many are active, verifying (approved but have not signed in yet), and disabled.
- The Resident Interest Card displays the number of interested residents. It also displays the number of residents who attend meetings, correspond, have bible studies, have a branch subscription, and who have no assigned publisher for correspondence.
- The Facility Support Card displays facility statistics. This includes facilities who have assigned contacts and assistant contacts. In addition, information pertaining to facilities with inmates (residents) who are publishers, have meetings, and have assigned volunteers is included to help in determining how best to extend support.
- The Resident Publisher Ministry Card displays the service report for residents at facilities within the specified zone and date range. It displays average bible studies, return visits, video showings, and placements reported by residents.
- The Resident Movement Card displays the number of residents transferred, added, or released from facilities in the specified zone and date range.
Step 4 Click Download to download the statistics data to a PDF file.
Step 5 Click the Facilities Tab and then Export to export all facilities statistics, such as name, location, publication placements, and bible studies within the specified zone to a csv file.
Step 6 Click the Volunteers Tab and then Export to export all volunteers statistics, such as name, congregation, placements, and service hours within the specified zone and date range to a csv file.
Step 7 Click the Resident Publishers Tab and then Export to export all statistics for resident publishers, such as placements and service hours within the specified zone and date range to a csv file.
