How To Add An Inmate


 

Overview:  This article is intended to provide a series of steps for a Facility, Zone, or Regional Contact or another authorized Gate Access user to add an Inmate.   

 

Type of System Access:  The Type of System Access (Permissions) needed to follow this article is Facility (default). 

Note: In most instances the default permissions will be used. However, if there is a need to modify permissions, it will be with the Inmates Module only.

Step 1   In the Navigation Panel, click on Inmates.

 



Step 2   Click the Add Inmate button.

Step 3   On the New Inmate Page, enter the Inmate Number, First Name, and Last Name as accurately as possible.

Step 4  Select the Gender and the Language of the inmate from the list displayed in the dropdown menu.  Select the inmates’ Birth Date by entering the date in MM/DD/YY format or selecting the date from the pop-up Calendar.

Step 5  Select the Facility of the inmate by selecting from the Location (Assign Location) dropdown menu.  Enter any additional housing information available in the area labeled Housing.

Step 6  Click the Create button.  Once created, you will be returned to the Inmates landing page and you will see the newly added inmate in your list.  

Note:  Clicking on the Cancel button will return you to the Inmates landing page without saving any information entered.

Step 7  To add further information, click the Edit button found on the Actions Column (left side) of the row containing the inmates name.

Step 8  Click on the Status accordion to expand it.

Step 9  Select the Status of the inmate from the dropdown menu.

Step 10  Click on the Interest accordion to expand it.

Step 11  Select what interest the inmate has by clicking in and Checking the appropriate box(es).  

Note:  

  • When selecting Literature Only and/or Study, a dropdown menu will appear where you can assign an In-Person Volunteer.  Currently, this is unavailable.
  • When selectin Attends Meeting, an additional option will appear that can be checked and will identify the inmate can be Used in Meetings.

Step 12  If the inmate is interested in receiving correspondence, including the Bible Study by correspondence program, click on the toggle switch next to Correspondence.  The button should now display On.

Step 13  To assign a volunteer to correspond with the inmate, click the Add Icon next to the Correspondence toggle switch.

Step 14  Select the name of a Volunteer from the dropdown menu to be the Primary correspondence contact for the inmate.  

Note:  

  • If an additional correspondence volunteer (secondary) is needed, repeat steps 13 and 14. 
  • Click the Trash Icon to remove a volunteer from this inmate.

 

 

Step 15  Click the Update button.  The Inmate landing page will display, and you will now see your added and updated inmate with information displayed.

Note:  By clicking the Cancel button, you will be taken to the Inmates landing page without any information saved.
