This article is intended to provide a series of steps for a Facility Contact or another authorized Gate Access user to create new Facilities.

Create A New Facility

Assign Congregation To A New Facility

Note: In most instances the default permissions will be used. However, if there is a need to modify permissions, below are a few examples showing the steps and effect the changes will have.


Roles/Permissions: Facility 

The default permissions can be identified under the Profile/System Settings. The Access and Scope columns can be modified as needed. 

  • Access
    1. Full (Add, Edit, Delete) 
      • This system permission will allow a Volunteer to add, edit or delete data for Facilities
    2. Modify (Edit Only)
      • This system permission will only allow a Volunteer to edit an existing Facility.
  • Scope
    1. All data from volunteer facilities
      • This system permission will affect data within the assigned Facilities
    2. All data from volunteer zone
      • This system permission will affect data within the assigned Zone
    3. All data from volunteer region
      • This system permission will affect data within the assigned Region

Examples: 

  • A Volunteer who is temporarily assisting to create a new Facility will require the Full (Add, Edit, Delete) to be selected under Access and either All data from volunteer zone or All data from volunteer region to be selected under Scope. Once the changes are saved, the Volunteer will see the Add Facility button to proceed with creating a new facility. 
  • A Facility Contact who has permissions for a single Zone but needs to create a Facility for another Zone will require the All data from volunteer region to be selected under Scope. Once the changes are saved, the Volunteer will see the additional Zones within the Region to proceed with creating a new facility.



When accessing Facilities, you will see the following tools and features to help you manage your role in prison witnessing. 

  • Search: This search window will allow a Facility Contact to search for a facility using the name of the facility.  



  • Add Facility: This feature allows a Facility Contact to add details for a new facility.  



  • Export Facilities: This feature allows a Facility Contact to export necessary data from a facility. 



How do I create a new Facility?  

 

Note: Prior to beginning, a Region, Circuit and Congregation should be created first if it does not already exist. 

 

Step 1 From the Gate Access home page, select Facilities on the Navigation Bar



Step 2 Click on the Add Facility button.  



Step 3 Create the Location Name. 

 

Note: The Location Name is name of the prison, jail, or detention center. 



Step 4 Enter the Branch ID and select the applicable Zone.



Step 5 Enter the Physical Address, Correspondence Mailing Address and Correspondence P.O. Box. 

 

Note: The Correspondence Mailing Address is the address for Volunteers to send correspondence to an Inmate. The Correspondence P.O. Box is the mailing address for Inmates to send correspondence back to a Volunteer 



Step 6 Select the applicable Agency Type and Location Type. 



Step 7 Click on Facility Contacts.



Step 8 Select Facility Contact to assign the appropriate Volunteer.



Step 9 Click on Create.

 

Note: Congregation Contacts cannot be added until the new Facility is created. Continue to the section entitled “How do I assign a Congregation to a Facility?”. 



How do I assign a Congregation to a Facility? 

 

Step 1 From the Gate Access home page, select Facilities on the Navigation Bar



Step 2 Click on the Edit icon for the applicable Facility.



Step 3 Click on Facility Contacts.



Step 4 Select the applicable Congregation and Language, then click Update.
