This article is intended to provide you with a series of steps to take the first time you log into Gate Access. After following these steps, your account setup will be complete and you will be ready to use Gate Access’ core functionality of managing your schedule, seeing inmates to whom you are assigned, and coordinate access to facilities.

First Time Logging In

Step 1 To get started, click the Link next to “Log in here:” in your Gate Access Registration Email. The link should take you to the URL: https://gateaccess.org. Then using your Username (your email address) and the temporary Password, sign into Gate Access. You will then be directed to change your password immediately.

Step 2 When you login you will be required to change your password.

Step 3 After changing your password, you will be directed back to the login screen. Enter your username (your email address) and the new password you just created then click Login.

Step 4 After logging in you will be directed to the calendar homepage. Select Support from the navigation bar to help you get started.

Step 5 On this webpage you will see several articles to help you get started. Please take the time to go through and read these articles. You can refer to them at any time by selecting Support from the navigation bar. New articles will be added periodically, so check back often.

Step 6 If you still need help after reading a knowledge article, return to the main calendar screen and select the icon at the bottom right of the page for online support M-F (7am-7pm CST) and Sat (7am-11pm CST).

Update your Profile

Step 1 In the Navigation Bar, click Profile. Here, you can add or change your profile photo, update your name, and input your phone number.

Step 2 Select Text Opt In and input your mobile number and service provider. This will allow you to receive text message updates relating to your ministry and meeting schedules.

 

 

Step 3 Click the Personal Info tab to input your current address information, personal information, language proficiency and emergency contact info

  


 

Step 4 Click the Theocratic Info tab to view your Baptism Date and current Theocratic Responsibilities entered from your application.

Step 5 Click the Facility Management tab to view the facilities to which you are currently assigned.

 


Step 6 (Optional)  Click Reset Password to create a new password if needed.



 

Check Your Calendar to See What Facilities You Have Access To

After logging into Gate Access, you will be presented with a calendar. This calendar is used to show you both your personal schedule, as well as the overall schedule for each facility to which you are assigned.

Step 1 When you log in, the Calendar will default to your Personal schedule. Use the Calendar dropdown menu to change which calendar is displayed.



Step 2 The Personal Calendar will show you what shifts, bible studies, or meetings you have been assigned to. Yellow dots will show next to each date that you have an assignment.



 

Step 3 Click on a date with a yellow dot, and you will see your assignments for that date. Click on the assignments to see more detail, delete an assignment, or, if the event is a meeting, see any meeting parts you have been assigned.

Step 4 Use the Calendar dropdown menu to change which calendar is displayed and select the desired facility.

  • You can view the calendar for any facility by selecting it from the Calendar dropdown menu. This will show you all the shifts and events scheduled to take place.
  • A green dot next to a date signifies that there are open shifts on that day. Click the date, and then click the event at the bottom of the calendar to sign up.

  • A red dot next to a date signifies that all shifts for that day are full.
  • Note: If you do not see the facility that you are supposed to have access to, you may request access from your overseer.

 

Schedule Individual Days to Access a Facility

You can schedule Facility Access one shift at a time, or you can create recurring access. 

Follow these steps to schedule an individual shift:


Step 1 Select the Facility’s Calendar from the Calendar Menu.



Step 2 Dates when access is allowed to the facility will either have a red dot or a green dot next to them. Red dots signify that all shifts for that date are full. Green dots signify that there are open shifts on that day. Click a green dot to sign up for an available shift.

Step 3 After clicking a date with a green dot, select the desired shift that shows at the bottom of the calendar and then click Request in the box that appears to the top-right of the calendar.

Step 4 You will see a window confirming that your access has been scheduled. Click OK to confirm.





Schedule Recurring Access at a Facility

You can volunteer for weekly recurring access to a facility. That shift will then be automatically assigned to your schedule for the next 12 weeks.


Step 1 From the Calendar home page, click the Recurring Access tab to expand it.

Step 2 Click the button next to Schedule Recurring Access.


Step 3 Select the Facility name from the Location dropdown, select the Shift, and click OK. 


Step 4 You will see a window confirming that your access has been scheduled. Click OK to confirm.
 


 

Recurring access will automatically expire 12 weeks after creation. But you can cancel it manually at any time. To cancel recurring access:

  • Step 1 From the home page, click the Recurring Access tab to expand it.

 


  •  Step 2 Click the Trash icon next to the recurring shift you would like to delete.

  •  Step 3 You will see a window confirming that your access has been removed. Click OK to confirm.




Select a Partner to Join You on Your Shift (Optional)

While signing up for a shift, you have the option to select another publisher to join you.

Step 1 While signing up for a shift, click the Select Partner checkbox.


Step 2 Select the desired publisher from the dropdown list.



Step 3 Click OK. The shift will be added to your schedule and will also be automatically added to the schedule of your partner. 

  • Note: Confirm with your selected partner they are aware of the date and shift.

 

Check to See Which Inmates Have Been Assigned to You

Step 1 Click the Inmates tab to expand the section and see what inmates have been assigned to you.


 

Schedule Any Upcoming Time Off

Under Time Off, you can identify dates when you will be away, or unavailable to assist in prison witnessing. Entering time off allows oversight to know that you will not be able to take any shifts during that period. Dates chosen as “Time Off” will show a red dot on your personal calendar.

Step 1 From the home page, click the Time off tab to expand it.

Step 2 Click the + button next to Schedule Time Off.



Step 3 Select the dates when you will be unavailable and click OK.

 


 

You will see a confirmation that your time off has been scheduled, and these dates will now appear with red dots on your personal calendar.

 

Accept or Decline Your Assigned Meeting Parts

You can use your Personal Calendar to see and accept any meeting parts that have been assigned to you.


Step 1 Select your Personal Calendar and click on a date when a meeting will be held at a facility, then click on the Meeting in the Event section under the calendar.


 
Step 2 After clicking on the meeting event, you can accept your assignment in the Meeting Info box that appears next to the calendar.



Step 3 After accepting, you will see a confirmation that your assignment has been confirmed.



 

If you have opted in to receive text message alerts, you will receive a text confirming your meeting assignment.

 

Logout

After you have completed your work in Gate Access, Click Logout to end your session.
